The leave problems you actually have

  • 01

    Shift coverage

When two people from the same line and shift are off, you find out at the start of the shift.

What LeaveCalc doesUse departments for lines and shifts, such as Line 2 nights. The calendar flags days when two people from one department are out.
  • 02

    Attendance points and protected leave

US note An attendance points policy must not count absences protected by FMLA, and many state sick-leave laws protect sick time the same way.

What LeaveCalc doesEvery absence is recorded with its leave type, so FMLA and protected sick time are easy to separate before any points are assessed.
  • 03

    Intermittent FMLA

US note Intermittent leave comes a few hours at a time, and the 12-week limit runs on a rolling or fixed 12-month year.

What LeaveCalc doesEach FMLA case keeps an hour bank of 12 times the usual weekly hours, subtracts each partial absence, and shows when hours free up in a rolling year.

Features

Everything about who is out, in one place

What a small team needs from a leave tracker, and nothing you have to learn twice.

Balances by local rules

Balances in days or hours, accruing per pay period, per hour worked or as a yearly grant, with caps and carryover. US teams get a sick policy that matches their state.

Requests by link

Team calendar

Every absence by month or week, filtered by department, with a flag when two people from one team are out. Public holidays for your country and region go in with one click, and your week starts on the day you choose.

Monday summary and calendar feed

Each Monday, one page with who is out this week, who is coming back, pending requests and low balances. Add the feed to Google Calendar, Outlook or Apple Calendar.

Payroll export

Pick a pay period and download a CSV of leave hours by person and leave type, ready for your payroll run. Ready-made files for ADP Workforce Now, Gusto, Paychex Flex, QuickBooks Online Payroll and Paylocity are included too: you download one and upload it to your payroll service. It is not a live connection.

FMLA deadlines

Your team asks from one link, you approve with one click, and balances and the calendar update themselves.

How it works

Set up once, then it runs itself

Most teams are done the first afternoon.

Type or import a CSV, then set opening balances.

A CSV file is dropped onto the People page. Twelve people appear with their opening balances and a message confirms 12 people imported.

A policy is built by choosing a state, which applies the rule of 1 hour per 30 hours worked. One click adds 11 public holidays to the calendar.

An employee fills in the public request form on a phone and sends it. The request reaches the manager with the hours and balance worked out. The manager approves it and the PTO balance drops from 46.2 to 6.2 hours.

FAQ

Questions, answered plainly

Yes. Use departments such as "Line 2 nights". The calendar filters by department and flags days when two people from one department are out.

US note: each FMLA case has an hour bank of 12 times the employee's usual weekly hours. Every approved partial absence comes off in hours, and in a rolling year LeaveCalc lists the dates when used hours free up again.

No. LeaveCalc does not score attendance. It records each absence with its leave type, so you can leave FMLA and protected sick leave out before you apply points. US note: FMLA leave cannot count against an employee under an attendance policy.

Hours per day come from each person's weekly hours and working days, so on a four-day, 40-hour schedule a day off comes off the balance as 10 hours.

US note: after 12 months with you, 1,250 hours worked in the last 12 months, and with 50 employees within 75 miles of their worksite. LeaveCalc checks tenure and hours on each case.

Yes. The app works anywhere, in English, today. Public holidays for 80 countries and statutory leave minimums for Canada (federal and provinces), the UK, Ireland, Australia, New Zealand, most of Western Europe, Singapore, Malaysia, Japan, South Korea, India, the Philippines, Hong Kong, the UAE, South Africa, Brazil and Mexico are built in. You can also add public holidays for any other country, track balances in days or hours and start your week on any day, and set your own policies anywhere we don't have a preset yet. US teams get state sick-leave rules and FMLA deadlines built in too.
