Forklift operator
Starts at 36 months
One record per operator, with the certificate number and the date of the last evaluation. The period matches the three-year evaluation cycle described below.
For manufacturing and warehouses
Keep each operator's forklift certification, lockout / tagout training, first aid, fire warden role and hearing test in one list with an expiry date. LeaveCalc emails the operator and the shift supervisor at 60, 30 and 7 days, and shows anyone who should hold a certification and has no record at all. It tracks dates and sends reminders, in the same tool as your time off.
Free for up to 3 people, with a 14-day Pro trial. No card. Licenses and certificates are included in every plan.
What a plant tracks
One click adds the Manufacturing and warehouse pack. Rename anything, change a renewal period or add your own machine sign-offs. Each record holds a number, the issue and expiry dates, an optional link to the file and notes.

Starts at 12 months
For maintenance and anyone who services machines. Mark it required for the departments that do, and Missing shows who has no record.
Starts at 36 months
A first aid certificate for the people you rely on in an emergency, so a shift is never left without one by accident.
Starts at 12 months
Floor wardens and evacuation leads. Track who holds the role this year and when the training is due again.
Starts at 12 months
Audiometric tests for people working in loud areas. Record the test date and let the reminder bring the next one round.
Add your own type
Not in the starter pack, but easy to add. Give each machine class its own type so one sign-off never hides another.
Add your own type
Anything with a test date and a renewal can be a type. Add it once and require it for the lines that need it.
Add your own type
Press, saw, crane or any machine your own policy says an operator must be signed off on, with the date of the sign-off.
The renewal periods are common starting points, not requirements. Rules differ by country and state and many employers refresh sooner than a minimum, so confirm yours and edit the period on the type.
Reminders
There is time to book the trainer, the audiologist or the next class. The days are yours to change for each type.
Email to the operator and to the shift supervisor. Enough time to book the evaluation or the refresher with whoever trains your people.
Second reminder. It also appears in the Monday summary and the daily Slack or Teams post, so it is on the agenda at shift handover.
Final reminder. A supervisor can see at a glance who is about to lapse before the next week is planned.
A notice goes out. The record turns red and stays at the top of the list until it is renewed.
Default days are 60, 30 and 7. Tests and classes that need a booking benefit from an earlier first reminder: up to five days per type, from 1 to 365. If a reminder day was missed, the nearest one is sent once, never several.

Required by department
Set up Warehouse, Production line, Maintenance and Shipping as departments, then choose what each must hold. Anyone without a current record shows as Missing, and new hires show up on day one.

Missing, not just expiring
A date can only expire if someone entered it. Mark Lockout / tagout training as required for Production line and Maintenance, and anyone in them without a current record shows as Missing, from the day they are added.
What the rules say
These are the US federal rules this page relies on, checked on the OSHA website. Other countries, and US states that run their own safety programs, may differ.
An evaluation of each powered industrial truck operator's performance must be conducted at least once every three years. Refresher training is also required in other situations, for example after an unsafe observation or a near miss.
Read 1910.178 on osha.govAt least annually after the baseline audiogram, the employer must obtain a new audiogram for each employee exposed at or above an 8-hour time-weighted average of 85 decibels.
Read 1910.95 on osha.govThe employer must inspect the energy control procedure at least annually. That is an inspection of the procedure, so a 12-month default for lockout / tagout training is a common choice here, not the text of the rule.
Read 1910.147 on osha.govAn evaluation is not a certificate that LeaveCalc can issue. LeaveCalc tracks the date you record and reminds people before it lapses. It does not decide who is covered by a standard or whether a record meets it.
Honest limits
LeaveCalc keeps the date and sends the reminder. It does not run the evaluation or decide who may drive.
Certificates: LeaveCalc does not store copies of certificates or wallet cards. Each record has an optional link to where the file lives, so scans stay in the folder you already control.
LeaveCalc does not deliver training or evaluations, and it does not issue or verify certificates. It cannot tell a truck that an operator is current, and there is no e-signature. It stores no uploads, only an optional link to where the file lives.
It does not know which operations your standards cover or how often your trainer says to refresh. The renewal periods in the pack are common starting points that you can edit.
A person has one current record per type, so an operator who is signed off on a counterbalance truck and a reach truck needs two types with clear names. The matrix then shows both side by side, each with its own date.
Status is calculated each day in your company time zone. A record is Expired when its date has passed and Expiring from the reminder window until the date, which is the largest reminder day of the type, at least 30 and 60 by default. Later dates are Valid, and a record marked Does not expire shows No expiry.
Missing means an active person in the type's required department has no current record.
LeaveCalc keeps dates and sends reminders. It does not tell you which certifications or training your operations require, whether a certificate is valid, or what a regulator expects. Confirm your obligations with the regulator, your trainer or an adviser.
One tool
Who you can put on a truck depends on who is in and who is current. LeaveCalc shows time off by line and shift next to the certifications about to lapse, in one Monday summary.

Add each operator and a Forklift operator record with the certificate number and the date it was issued or last evaluated. The expiry fills from the issue date, and you can change it. LeaveCalc shows who is expired, who expires soon and which required operators have no record, and emails the operator and the shift supervisor at 60, 30 and 7 days.
For US employers covered by federal OSHA, 29 CFR 1910.178(l)(4)(iii) says an evaluation of each powered industrial truck operator's performance must be conducted at least once every three years, and refresher training is needed in other cases, for example after a near miss. Other countries, some US states and many employers set their own rules, so check yours.
Yes. Each operator has a record with an expiry date, and LeaveCalc emails them and their supervisor at 60, 30 and 7 days, and on the day it expires. You can change those days for each type, up to five of them, from 1 to 365.
The Manufacturing and warehouse pack has five types: Forklift operator, Lockout / tagout training, First aid, Fire warden and Hearing test. Renewal periods are starting points you can edit, and you can add any machine sign-off or test your plant uses.
Yes, as dated records like any other. Federal OSHA requires an audiogram at least annually for employees exposed at or above an 8-hour average of 85 decibels, and a periodic inspection of the energy control procedure at least annually. LeaveCalc tracks the dates you enter. It does not decide who is in a hearing program or whether a procedure passed.
No. Certification comes from your trainer or provider, and the evaluation is done by someone qualified at your site. LeaveCalc stores the date and the number you enter, and reminds people before it lapses. It cannot verify a certificate with an issuer.
The free certification tracker Excel template works for a small plant: list the training types, log each person's dates and a matrix shows who is current. A spreadsheet cannot send reminders. LeaveCalc is free for up to 3 people if you want the emails.
No. LeaveCalc records dates and reminds people. It does not decide which training your operations require, does not check records against a standard and gives no regulatory advice. Rules differ by country and state, so confirm yours with the regulator or an adviser.
