Staff holiday planner
Staff holiday planner for UK teams
This staff holiday planner keeps annual leave, bank holidays and sick days for a UK team in one place. Start from the 5.6 weeks statutory minimum, which is 28 days for a 5-day week, add UK bank holidays in one click, keep balances in days or in hours for part-time and shift staff, and let your people ask for time off through a link. It works as a holiday planner for a café with eight staff or a holiday tracker for a growing office.
Free for up to 3 people, with a 14-day Pro trial. No card. UK bank holidays and the 5.6 weeks minimum built in.
Features
Annual leave, bank holidays and sick days in one staff holiday planner
Whatever your contracts say, these are the six things a holiday planner for a small UK team has to get right.
Balances in days or hours
Track annual leave, sick days and any other type in days or in hours, granted yearly or accruing each pay period, with caps and carry over. UK teams start from 28 days a year for a full-time week, which is the 5.6 weeks statutory minimum, and you can edit it to match each contract.
Team calendar with bank holidays
Every absence by month or week, filtered by department. UK bank holidays go in with one click, and your week starts on Monday or any day you choose.
Requests by link
Share one link. Staff pick their name, leave type and dates, and see the days or hours before they send. It works from any phone or browser, with no accounts and nothing to install.
A weekly page and a calendar feed
Each Monday, who is out, who is coming back, pending requests and low balances on one page. The calendar feed works with Google Calendar, Outlook and Apple Calendar.
Export for payroll
Download a CSV of leave hours by person and leave type for any pay period, ready for your payroll provider. Ready-made files for ADP Workforce Now, Gusto, Paychex Flex, QuickBooks Online Payroll and Paylocity are included too: you download one and upload it to your payroll service. It is not a live connection.
Sick days and SSP
Record sick days as their own leave type. Statutory Sick Pay is a weekly payment from the employer, not an accrued balance, so sick leave holds no balance, and the SSP calculator shows what a sick employee is due.
UK rules
UK annual leave rules, from the statutory minimum
Almost all UK workers get 5.6 weeks of paid holiday a year, capped at 28 days. A full-time worker on a 5-day week gets 28 days, and someone working 3 days a week gets 16.8. Employers can count bank holidays towards it: England and Wales usually have 8 a year, Scotland 9 and Northern Ireland 10. Your contracts set the holiday year and can give more than the minimum, never less.
Carry over follows your contracts. With 28 days, up to 8 can be carried over, and sickness or family-related leave can carry over more. Since 6 April 2026, Statutory Sick Pay has been paid from the first full working day off sick.

How it works
Pick your country, add people, share a link
Most teams are done the first afternoon.
Type or import a CSV, then set opening balances in days or hours.
A CSV file is dropped onto the People page. Twelve people appear with their opening balances and a message confirms 12 people imported.
A policy is built by choosing a state, which applies the rule of 1 hour per 30 hours worked. One click adds 11 public holidays to the calendar.
An employee fills in the public request form on a phone and sends it. The request reaches the manager with the hours and balance worked out. The manager approves it and the PTO balance drops from 46.2 to 6.2 hours.

FAQ
Questions, answered plainly
Almost all UK workers are entitled to 5.6 weeks of paid holiday a year. For someone working 5 days a week that is 28 days, and statutory holiday is capped at 28 days, so a 6-day week still gives 28. Part-time workers get 5.6 times the days they work each week, so 3 days a week gives 16.8 days. Employers can count bank holidays as part of it, and contracts can give more, never less. The UK holiday entitlement calculator checks one person's figure.
UK bank holidays can be added to your calendar with one click, and you can add your own dates. England and Wales usually have 8 bank holidays a year, Scotland 9 and Northern Ireland 10, and the lists differ, so check the dates against your part of the UK on the UK bank holidays page. Whether bank holidays count towards the 5.6 weeks is set by your contracts, not the law.
Yes. Balances can be kept in days or in hours, and a request shows the hours it will use before it is sent. In hours, statutory holiday is 5.6 times the weekly hours, so 20 hours a week gives 112 hours. The UK pro rata holiday calculator works out part-time, starter and leaver figures before you enter them.
It records sick days as their own leave type on the team calendar. The UK sick leave policy does not hold a balance, because Statutory Sick Pay is a weekly payment from the employer, not an accrued balance. From 6 April 2026 SSP is paid from the first full working day, at the lower of £123.25 and 80% of average weekly earnings, for up to 28 weeks, and the Statutory Sick Pay calculator shows what an employee is due.
Your contracts say how much unused holiday carries over, and LeaveCalc lets you set caps and carry over in each policy. If you give 28 days, up to 8 days can be carried over, and you may allow any holiday above 28 days to be carried over. If sickness or family-related leave, such as maternity or parental leave, stopped someone taking their holiday, they can carry over more.
Yes. LeaveCalc is free for up to 3 people, with every feature included except SAML single sign-on, and no card. Pro is $15 a month for up to 25 people and Business is $69 a month for up to 100 and Enterprise is $149 a month with no seat limit, all priced in US dollars. Every new company gets a 14-day Pro trial with no card, and paid plans have a 30-day money-back guarantee.
