Safety induction card
You enter the date
The site or company induction card. Some run out and some never do, so the date comes from the card and Does not expire is one tick.
For contractors and trades crews
Keep every worker's safety induction card, first aid, working at heights, forklift or plant ticket, driver license, trade license and confined space training in one list with an expiry date. LeaveCalc emails the worker and the foreman at 60, 30 and 7 days, before the card is checked at the gate. It tracks dates and sends reminders, next to the time off you already manage.
Free for up to 3 people, with a 14-day Pro trial. No card. Licenses and certificates are included in every plan.
What a crew tracks
One click adds the Construction and trades pack. Rename anything, change a renewal period or add your own types. Each record holds a number, the issue and expiry dates, an optional link to the card photo and notes.

Starts at 36 months
First aid certificates from your course provider, one per person, so you know who can treat a crew member and who is due.
Starts at 24 months
Ladders, scaffolds and roofs. Enter the issue date and the refresher date fills in. Change it to match the course.
Starts at 36 months
Forklift, telehandler or excavator tickets with the ticket number. Add a type for each machine class you sign off.
You enter the date
For anyone who drives a company truck or hauls equipment. The expiry comes from the license itself, not from a guess.
You enter the date
Electrical, plumbing, gas or whatever license the work needs. Add the number so the office can find it in a hurry.
Starts at 24 months
For crews who enter tanks, vaults and trenches. Mark it required only for the department that does the work.
Add your own type
Not in the starter pack, but a type takes a minute to add. Many employers and customers ask to see the card, so keep its date on file.
The renewal periods are common starting points, not requirements. Tickets, licenses and who may ask for them differ by country, state and site owner, so confirm yours and edit the period on the type.
Reminders
The worker and the foreman are told in time to book the next heights course or the next first aid day. The days are yours to change for each type.
Email to the worker and to the foreman or office manager. Plenty of time to book the next course.
Second reminder. From here it is also in the Monday summary and in the daily Slack or Teams post, so it comes up at the crew meeting.
Last call. Anyone who has still not booked is easy to spot.
An expiry notice goes out. The record turns red and stays at the top of the list until someone renews it.
Default days are 60, 30 and 7. Give a short course a short lead time and a ticket with a long waiting list an earlier first reminder: up to five days per type, from 1 to 365. If a reminder day was missed, the nearest one is sent once, never several.
Your First aid certificate expires on Oct 31, 2026
Hi Tessa, your First aid certificate expires in 30 days, on Oct 31, 2026. Please book the renewal and tell Dana in the office once it is done.

Required by department
Departments drive the Missing flag. Set them up the way your jobs split, then mark what each one must hold. A new hire shows as Missing for those items on day one.
Concrete, framing, general site work
Operators, riggers, yard hands
Electrical, plumbing, gas
Foremen and site leads
Haulage and deliveries
Back office
Required for the department, Missing when absentAdded per person when the job needs it
These are examples. What each role needs is set by your trade, your jurisdiction and the site owner, so mark what you actually require.
Missing, not just expiring
A date can only expire if someone entered it. Mark Working at heights as required for the Labor crew and for Supervisors, and anyone without a current record shows as Missing from the day they are added.
Rules differ
Ticket rules change with the country, the state, the trade and the site owner. One official source worth reading before you set a renewal period.
Federal OSHA describes its 10-hour and 30-hour outreach training as a voluntary program that does not meet the training requirements of any OSHA standard. Some states, municipalities or employers may still require it as a condition of employment.
Read it on osha.govThat is the only regulatory statement on this page. Everything else is general: many employers set their own refresh interval, and trades, states and site owners differ. LeaveCalc stores the expiry date you enter and does not decide what is required.
Honest limits
LeaveCalc keeps the date and sends the reminder. It does not decide who may work on a site.
Card photos: LeaveCalc does not store photos or scans of cards. Each record has an optional link to where the file lives, so a picture of a ticket stays in the folder you already control.
LeaveCalc does not store the cards. There are no uploads, only an optional link to where the file lives. It does not check a ticket with an issuer or a register, and it cannot tell a site gate whether someone may enter. There is no e-signature and no course delivery.
It does not know which tickets your trade, state or customer requires, or how long they last. The renewal periods in the pack are common starting points that you can edit.
Status is calculated each day in your company time zone. A record is Expired when its date has passed and Expiring from the reminder window until the date, which is the largest reminder day of the type, at least 30 and 60 by default. Later dates are Valid, and a card marked Does not expire shows No expiry.
Missing means an active person in the type's required department has no current record. Only the current record of each type counts, so a renewed ticket never shows its old date.
Workers do not need to be in the office. In the employee portal they see their own current tickets and anything required that is missing, after their time off balances. They cannot edit records. Foremen and office managers add and renew records in the app.
LeaveCalc keeps dates and sends reminders. It does not tell you which tickets, cards or licenses your work requires, whether one is valid, or what a regulator, insurer or site owner expects. Confirm your obligations with the issuing body or an adviser.
One tool
The people you check tickets for are the people you roster. LeaveCalc keeps time off, rain days and credentials together, so Monday shows who is off this week and which card is about to lapse.

Add each person, then add their tickets with the number and the expiry date. Where a type has a renewal period, enter the issue date and the expiry fills in. LeaveCalc shows what is expired, what expires soon and who has no record, and it emails the worker and the foreman at 60, 30 and 7 days. The Construction and trades pack adds the usual types in one click.
Yes, as a type you add yourself, with the card number and the date it was issued. LeaveCalc does not check the card with anyone. OSHA describes its outreach training as voluntary, and whether a state, city or customer asks for it varies, so many employers set their own refresh interval. You choose the period and edit it any time.
The Construction and trades pack has seven types: Safety induction card, First aid, Working at heights, Forklift / plant operator, Driver license, Trade license and Confined space. Renewal periods are starting points you can change, and any other ticket your work needs can be added as its own type.
The worker, if they have an email on file, and the owner and managers who look after them. Managers get one grouped email a day listing everything that reached a reminder day, so a busy week does not mean forty emails. A foreman limited to one department sees and hears about that department only.
No. LeaveCalc keeps dates and reminders only. Each record has an optional link to where the file lives, such as a shared folder you already use, so card photos stay where you control access. There is no file upload and no e-signature.
Mark the type as required for a department. Anyone in that department with no current record shows as Missing in the list, in the matrix and on the Today page, starting the day they are added. People who have left are left out of the counts.
The free certification tracker Excel template works for a small crew: list the ticket types, log each person's dates and a matrix shows who holds what. A spreadsheet cannot send reminders, so someone has to open it. LeaveCalc is free for up to 3 people if you want the emails.
No. LeaveCalc records the dates you enter and reminds people. It does not know which tickets your trade, state or site owner requires, does not verify a card with the issuer and gives no regulatory advice. Rules differ by country and state, so confirm yours with the issuing body or an adviser.
