The leave problems you actually have
01
Crews spread across sites
The foreman hears about time off first and the office hears last, often on the morning it starts.
What LeaveCalc doesSet up each crew or site as a department. The calendar shows who is out by crew, and requests come in through one link that anyone can open on a phone.02
Weather days
Rain and heat stops are not PTO, but you still want a record of who lost which days.
What LeaveCalc doesCreate a leave type for weather days, paid or unpaid, and choose whether it draws down a balance. It shows on the calendar next to everything else.03
Seasonal layoffs and rehire
People leave at the end of the season and come back in spring with balances you have to piece together again.
What LeaveCalc doesMark people inactive for the off-season. Inactive people do not count toward your plan. On rehire, reactivate them and set an opening balance. US note Some state sick-leave laws require you to restore unused hours when you rehire within a set window, so check yours.
Features
Everything about who is out, in one place
What a small team needs from a leave tracker, and nothing you have to learn twice.
Balances by local rules
Balances in days or hours, accruing per pay period, per hour worked or as a yearly grant, with caps and carryover. US teams get a sick policy that matches their state.
Requests by link
Share one link. Employees pick their name, leave type and dates, and see the hours before they send. No accounts, no app to install.
Team calendar
Every absence by month or week, filtered by department, with a flag when two people from one team are out. Public holidays for your country and region go in with one click, and your week starts on the day you choose.
Monday summary and calendar feed
Each Monday, one page with who is out this week, who is coming back, pending requests and low balances. Add the feed to Google Calendar, Outlook or Apple Calendar.
Payroll export
Pick a pay period and download a CSV of leave hours by person and leave type, ready for your payroll run. Ready-made files for ADP Workforce Now, Gusto, Paychex Flex, QuickBooks Online Payroll and Paylocity are included too: you download one and upload it to your payroll service. It is not a live connection.
FMLA deadlines
For US teams: open a case and LeaveCalc keeps the rolling 12-month balance and the notice deadlines, 5 business days for eligibility, 15 calendar days for certification, with the WH-381 notice prefilled.
Tickets, licenses and safety trainingNEW
Safety induction cards, first aid, working at heights, forklift and trade licenses with an expiry date, a reminder before each one lapses and a Missing flag for crew members who have none on file. Included in every plan.
How it works
Set up once, then it runs itself
Most teams are done the first afternoon.
Type or import a CSV, then set opening balances.
A CSV file is dropped onto the People page. Twelve people appear with their opening balances and a message confirms 12 people imported.
A policy is built by choosing a state, which applies the rule of 1 hour per 30 hours worked. One click adds 11 public holidays to the calendar.
An employee fills in the public request form on a phone and sends it. The request reaches the manager with the hours and balance worked out. The manager approves it and the PTO balance drops from 46.2 to 6.2 hours.

FAQ
Questions, answered plainly
Yes. The request link opens on any phone. They pick their name, the leave type and the dates, with no account and no app to install.
Add a leave type called Rain day, or whatever you call it, and set it as paid or unpaid, with or without a balance. Mark the day for everyone affected and it appears on the calendar and in the payroll export.
Mark people inactive when the season ends. They stop counting toward your seats and their history stays. When they come back, reactivate them and set an opening balance. US note: some state sick-leave laws require restoring unused hours on rehire within a set window.
US note: FMLA covers private employers with 50 or more employees, and an employee qualifies only if 50 employees work within 75 miles of their worksite. For crew members without a fixed site, the worksite is generally the place they report to or get their assignments from.
Yes. Use departments for crews or sites, then filter the calendar. Days when two people from the same crew are out get a flag.
Yes. The app works anywhere, in English, today. Public holidays for 80 countries and statutory leave minimums for Canada (federal and provinces), the UK, Ireland, Australia, New Zealand, most of Western Europe, Singapore, Malaysia, Japan, South Korea, India, the Philippines, Hong Kong, the UAE, South Africa, Brazil and Mexico are built in. You can also add public holidays for any other country, track balances in days or hours and start your week on any day, and set your own policies anywhere we don't have a preset yet. US teams get state sick-leave rules and FMLA deadlines built in too.
