The leave problems you actually have

  • 01

Requests come by text after close, and nobody knows the balance until payroll.

What LeaveCalc doesOne request link for the whole staff. Each request arrives with the hours and the balance after, including part of a shift.
  • 02

    Sick staff should stay home

A cook or server who feels unwell is more likely to stay home when they know they have paid hours to use and asking is easy.

What LeaveCalc doesStaff see their balance when they ask, and sick leave accrues on the rules for your state.
  • 03

    Hours that change every week

Part-time and variable schedules make accrual per hour worked hard to keep straight in a spreadsheet.

What LeaveCalc doesAccrue sick leave per hour worked from each person's usual weekly hours, and adjust the balance when a week runs long or short. US note California sets 1 hour for every 30 worked.

Your team asks from one link, you approve with one click, and balances and the calendar update themselves.

How it works

Set up once, then it runs itself

Most teams are done the first afternoon.

Type or import a CSV, then set opening balances.

A CSV file is dropped onto the People page. Twelve people appear with their opening balances and a message confirms 12 people imported.

A policy is built by choosing a state, which applies the rule of 1 hour per 30 hours worked. One click adds 11 public holidays to the calendar.

An employee fills in the public request form on a phone and sends it. The request reaches the manager with the hours and balance worked out. The manager approves it and the PTO balance drops from 46.2 to 6.2 hours.

FAQ

Questions, answered plainly

No. They open the request link on their phone, pick their name, the leave type and the dates, and send. No account, nothing to install.

Yes. The request link takes partial-day hours, so a 4-hour absence comes off the balance as 4 hours.

LeaveCalc accrues from each person's usual weekly hours and you add an adjustment when actual hours differ. US note: in states that set accrual per hour worked, such as California at 1 hour per 30 worked, part-time staff earn sick leave too.

Yes. Use FOH and BOH, or your own stations, as departments. The calendar filters by department and flags days when two people from one department are out.

US note: FMLA covers private employers with 50 or more employees, and an employee qualifies only if 50 employees work within 75 miles of their worksite. If you run several locations close together, staff at all of them count toward that 50.

Yes. The app works anywhere, in English, today. Public holidays for 80 countries and statutory leave minimums for Canada (federal and provinces), the UK, Ireland, Australia, New Zealand, most of Western Europe, Singapore, Malaysia, Japan, South Korea, India, the Philippines, Hong Kong, the UAE, South Africa, Brazil and Mexico are built in. You can also add public holidays for any other country, track balances in days or hours and start your week on any day, and set your own policies anywhere we don't have a preset yet. US teams get state sick-leave rules and FMLA deadlines built in too.
