Dental license
You enter the date
One per dentist. Renewal cycles differ by state and board, so the expiry comes from the license itself.
For dental and medical practices
Keep each dentist's, hygienist's and assistant's license, radiography certificate, CPR / BLS card, infection control training, liability insurance and DEA registration in one list with an expiry date. LeaveCalc emails the clinician and the practice manager at 60, 30 and 7 days. It tracks dates and sends reminders, in the same tool as your time off.
Free for up to 3 people, with a 14-day Pro trial. No card. Licenses and certificates are included in every plan.
What a practice tracks
One click adds the dental pack. Rename anything, change a renewal period or add your own types. Each record holds a number, the issue and expiry dates, an optional link to the document and notes.

One per hygienist, tracked the same way, with its own number and expiry.

For staff who take x-rays. Add the certificate number and when it lapses.
Starts at 24 months
A card most clinical staff carry. The expiry fills from the issue date, and you can change it.
Starts at 12 months
Annual refreshers for the whole team, with a Missing flag for anyone who has no record.
Usually no expiry
Keep a record that it is on file. Mark it as not expiring and it never turns red.
Starts at 12 months
The policy renewal date for each clinician, so a lapse is never a surprise.
Starts at 36 months
Practitioner registration. Match the period to the date on the registration itself.
The renewal periods are common starting points, not regulatory requirements. Licensing rules differ by state and board, so confirm yours and edit the period on the type.
Reminders
The clinician and the practice manager hear about it in time to book the course, send the renewal or order the card. The days are yours to change for each type.
First email to the clinician and to the practice manager. Time to book the course or start the renewal paperwork.
Second reminder. From here it also counts in the Monday summary and in the daily Slack or Teams post.
Last reminder before the date, to the clinician and the managers.
An expiry notice goes out. The record turns red and stays at the top of the list until someone renews it.
Default days are 60, 30 and 7. Set up to five reminder days, from 1 to 365, for each type, so a DEA registration can start earlier than a CPR card. If a reminder day was missed, the nearest one is sent once, never several.
Your Radiography certificate expires on Oct 31, 2026
Hi Priya, your Radiography certificate expires in 30 days, on Oct 31, 2026. Please arrange the renewal and let the practice manager know once it is done.

Required by department
Mark infection control training or CPR / BLS as required for the Clinical department and every active clinician who has no current record shows as Missing. Front desk can have its own set.
Honest limits
LeaveCalc is a date keeper. It does not count CE credit hours in detail, store documents or tell you what your board requires.
CE hours: LeaveCalc does not track continuing education credit hours in detail. It tracks when a license or certificate expires. Keep your CE log where your board or course provider expects it.
LeaveCalc does not count continuing education credit hours, compare them with a board's requirement or submit anything to a board. You can note the hours on a record or link the certificate, but the tracking of hours stays with your CE provider or board.
It does not store the documents. There are no license scans and no certificate PDFs, only an optional link to where the file lives. There is no e-signature, and it does not check a license against a register.
It gives no regulatory or legal advice. It cannot tell you which credentials your state, board or insurer requires or how often they renew. The renewal periods in the dental pack are common starting points that you can edit.
Status is calculated each day in your company time zone. A record is Expired when its expiry date is before today, and Expiring from the reminder window until the date. The window is the largest reminder day of the type, at least 30 and 60 by default. Everything later is Valid, and a record marked Does not expire, such as a Hepatitis B record, shows No expiry.
Missing means an active person in the type's required scope has no current record. Only the current record of each type counts, so a renewed license never shows its old date.
LeaveCalc keeps dates and sends reminders. It does not tell you which licenses or certificates your practice needs, whether one is valid, or what your state board or insurer requires. Confirm your obligations with the issuing body or an adviser.
One tool
The people you track licenses for are the people you schedule around. LeaveCalc keeps their time off, sick balances and credentials in one place, so the Monday summary shows who is out this week and what is about to lapse.

Add each person, then add their license with its number and expiry date. For types with a renewal period, enter the issue date and the expiry fills in. LeaveCalc shows what is expired, what expires soon and what is missing, and emails the clinician and the practice manager at 60, 30 and 7 days. The dental pack adds the usual types in one click.
Not in detail. LeaveCalc tracks the date a license or certificate expires. It does not count continuing education credit hours or check them against what a board requires. Keep your CE log in the tool your board, association or course provider gives you, and note the hours or link the certificate on the record if that helps.
The dental pack has eight types: Dental license, Hygienist license, Radiography certificate, CPR / BLS, Infection control training, Hepatitis B record, Professional liability insurance and DEA registration. Renewal periods are common starting points that you can edit, and you can add any other type your practice tracks.
The clinician, if they have an email on file, and the owner and managers who look after them. Managers get one grouped email a day listing everything that reached a reminder day. A manager who is limited to one department only sees and hears about that department.
No. LeaveCalc keeps dates and reminders only. Each record has an optional link to where the document lives, such as a secure folder you already use, so scans of licenses and patient-adjacent paperwork stay where you control access. There is no file upload and no e-signature.
The free certification tracker Excel template works for a practice: list your credential types, log each license with its dates, and a matrix shows who holds what. A spreadsheet cannot send reminders, so you have to open it to see what is due. LeaveCalc is free for up to 3 people if you want the emails.
Yes. The Medical and care pack covers Professional registration, BLS / CPR, Manual handling, Safeguarding, Background check and Immunisation record, and any team can add its own types. See employee license tracking for the general version.
No. LeaveCalc records the dates you enter and reminds people. It does not know your state board's rules, check a license against a register or give regulatory advice. Confirm what applies to your practice with your board or an adviser.
