Vacation Tracker alternative

A Vacation Tracker alternative that costs $15 a month for 25 people

Vacation Tracker Core is $2 per user a month with a $50 minimum, and Complete is $4 with a $100 minimum, so a team of 25 pays $50 or $100. LeaveCalc is $15 a month flat for up to 25 people and $69 for up to 100, with accruals, hours and coverage rules in every plan.

Free for up to 3 people, with a 14-day Pro trial. No card, no contract, no minimum seats. Vacation Tracker prices checked 1 October 2026. LeaveCalc prices updated 20 October 2026.

Where Vacation Tracker is cheaper. Between 26 and 34 people, Core costs $1 to $17 a month less than LeaveCalc Business. Core does not include accruals, hourly leave or multi-level approvals, which are in Complete. Against Complete, LeaveCalc is cheaper at every team size, and LeaveCalc is free for 1 to 3 people.

Vacation Tracker annual billing is about 10% lower and is priced in user tiers, so it is not modelled here. LeaveCalc plans have seat limits: Free up to 3, Pro up to 25, Business up to 100. Enterprise has no limit, at $149 a month. How we worked this out.

Honest limits

Where Vacation Tracker is stronger

These are real gaps in LeaveCalc today. If one of them matters to your team, stay where you are.

It lives inside Slack and Teams

Native Slack and Microsoft Teams apps let people request, approve and check leave without leaving chat, and users come in from your directory. LeaveCalc has a Slack app that does the same in Slack (people are matched by the email address Slack confirms, and it is not in the Slack Marketplace), but no Microsoft Teams app: Teams gets only webhook notifications and a daily who is out message.

Longer approval chains

Complete routes requests through several approvers and lets you name a backup when someone is away. LeaveCalc has per-person approvers, delegates and one optional second step, so two steps at most.

Languages

Vacation Tracker lists nine languages on its site. The LeaveCalc app is in English only.

Listed integrations and single sign on

OpenAPI, Zapier, ADP Workforce Now and single sign on are listed on both plans. LeaveCalc has its own public API and webhooks and works with Zapier and Make through their webhook steps, but it has no listed Zapier app, no live ADP connection (it exports an ADP file) and no SCIM. LeaveCalc has SAML 2.0 single sign-on on the Business and Enterprise plans only (so far tested with test keys, not with a live identity provider tenant), and Sign in with Google or Microsoft in every plan.

Calendar sync

Personal leave syncs with Google Calendar and Outlook, and Complete adds shared calendars in Google and Outlook. LeaveCalc syncs approved time off one way into a separate calendar that it creates in Google Calendar or Outlook, and has a read-only feed for Google, Outlook and Apple. It does not sync two ways.

Entitlement by role and duration limits

Complete adds entitlement by role and leave duration limits, on top of probation periods and seniority entitlement. LeaveCalc has waiting periods and years of service steps in a policy, but no entitlement by role and no limits on how long a leave can be.

Also included

What else every LeaveCalc plan has

Each of these is in every plan, Free included, and is live in the product today.

TOIL and comp time

Record extra time worked, approve it, and let the credit expire on a date you set. US public agencies can use comp time under FLSA section 7(o), with the 240 and 480 hour limits.

API and webhooks

Read people, balances and requests, add people and requests, and get a signed webhook when something happens. Tokens are read only or read and change. Guides for Zapier and Make are published.

Approvals that follow your org

Per-person approvers with delegates, requests sent to the person's manager through reporting lines, and an optional second approval step for all requests, long ones or chosen leave types.

Sign-in security and an activity log

Two-factor sign-in with an authenticator app, Sign in with Google or Microsoft, and an activity log of who changed what that downloads as CSV or JSON.

Payroll files and BambooHR

Payroll files for ADP Workforce Now, Gusto, Paychex Flex, QuickBooks Online Payroll and Paylocity, which you upload to your payroll service, and a read-only BambooHR import with your own API key.

Licences and certificates

Track expiry dates of licences, certifications and training, with reminders to the employee and their manager at 60, 30 and 7 days.

Doctor’s notes and documents

Employees attach a sick note or another document to a time off request. You choose which leave types ask for one, and only the owners, the employee and the managers you allow can open the files, which are stored encrypted and deleted after the time you choose. A Free company can keep 50 MB of files, a paid plan 1 GB.

Time off taken report

See who has not taken time off for a while and whose saved-up leave is piling up, in Reports and on the Today card for owners and managers. An optional monthly email and an optional reminder to employees are off until you switch them on.

AI assistants (MCP)

Ask Claude Code or another tool that can send a fixed token who is out or what is left, with a token that only reads. Claude on the web and ChatGPT need OAuth, which LeaveCalc does not have yet.

Decide

Who should stay, and who should switch

Stay with Vacation Tracker if

  • Your team requests and approves leave inside Microsoft Teams every day, or your Slack workspace only allows apps from the Slack Marketplace.
  • You need more than two approval steps, SCIM, or a live ADP Workforce Now connection.
  • You want a ready-made Zapier app. LeaveCalc works with Zapier and Make through their webhook steps.
  • You want entitlement by role or limits on how long a leave can be, which LeaveCalc does not have.
  • You need another language. Its site lists nine, and our interface is English only.

Switch to LeaveCalc if

  • You pay a monthly minimum for seats you do not have, such as 10 people on a $50 minimum.
  • You want accruals, hourly leave, coverage rules, TOIL and two-step approval without moving to a $4 plan.
  • You want employees to request leave from a link, with no account or chat app.
  • You need statutory minimums, a policy check or FMLA tracking.
  • You prefer one flat, predictable price that does not grow with each hire.

Moving over

Move in an afternoon

You do not need to re-enter past leave. Opening balances are enough to start.

  1. List your people

Copy names, teams and current balances out of Vacation Tracker. Its leave balance report shows entitled and taken leave per person.

  2. Import a CSV

Save name, team and balance as a CSV and drop it on the People page. Set opening balances in days or hours.

  3. Set policy and holidays

Pick your country to start from its statutory minimum, then add public holidays in one click.

  4. Share the request link

Give everyone the link. Run both tools for one pay period, then cancel Vacation Tracker, which says there are no cancellation fees.

What carries over and what does not

Balances carry over. Past requests do not need to be re-entered.

People, teams and opening balances carry over through the CSV import. Past leave requests do not need to be re-entered: set each person's balance as it stands today and track from there.

If you want a record of history, save Vacation Tracker's leave request report before you cancel. It lists the history of requests per leave type for each employee.

Anything that depends on a Vacation Tracker command will change. In Slack, an owner adds the LeaveCalc Slack app (Settings, Integrations, Add to Slack) and people use /timeoff instead. There is no Teams app, so Teams users use the request link, and managers get the request by email (or in Slack) with the hours and the balance after, and approve or deny it there. If you connected Vacation Tracker to other tools, rebuild those links on the LeaveCalc API and webhooks.

Accrual rules, caps and carryover are set again in LeaveCalc, so write down your current Vacation Tracker policies first.

FAQ

Questions, answered plainly

On monthly billing, Vacation Tracker Core is $2 per user with a $50 monthly minimum and Complete is $4 per user with a $100 minimum, so a team of 25 pays $50 or $100 a month. LeaveCalc is free for up to 3 people, $15 a month for 4 to 25, $69 a month for 26 to 100 and $149 above that with no seat limit, with every feature in every plan except SAML single sign-on, which is for Business and Enterprise. Core costs less than our Business plan only between 26 and 34 people, by $1 to $17 a month, and Core leaves out accruals, hourly leave and multi-level approvals. Complete is the plan that has them, and it costs more than LeaveCalc at every team size.

Yes. On monthly billing the Core plan has a $50 minimum and Complete has a $100 minimum, so a team of 10 on Core pays for 25 seats. On annual billing its page shows lower minimums of $25 and $75. LeaveCalc has no minimum number of seats and no minimum charge: a team of 4 to 25 pays the same $15.

LeaveCalc has no Microsoft Teams app (Teams gets only incoming-webhook notifications and a daily who is out post to a channel), no Slack Marketplace listing for its Slack app (you add it from Settings, Integrations), no two-way calendar sync (it syncs approved time off one way into a separate Google or Outlook calendar that it creates, and the calendar feed is read-only), no listed Zapier app (it has its own public API and webhooks, and works with Zapier and Make through their webhook steps), no live ADP connection (it exports a file in the ADP Workforce Now layout), no SCIM, SAML single sign-on only on the Business and Enterprise plans (and so far tested with test keys, not with a live identity provider tenant), no approval chain longer than two steps and no app store app. The interface is in English only. If your team works inside Microsoft Teams, or you need any of those, stay with Vacation Tracker.

Mostly, and in every plan including Free: accruals, hourly leave, coverage rules and blackout periods, time off in lieu (with US public agency comp time), two-step approval with delegates, scheduled reports, and a public API with webhooks. LeaveCalc allows up to 50 locations. It does not have an approval chain longer than two steps, entitlement by role, or limits on how long a leave can be.

Yes. Export or copy your people, teams and current balances, save them as a CSV with name, team and balance, import the file, then set your country policy and holidays. Most small teams finish in an afternoon. Keep a copy of Vacation Tracker's leave request report if you want the history, because past requests do not need to be re-entered to start tracking.

Yes. The Free plan covers up to 3 people with every feature included except SAML single sign-on, and no card is needed. From 4 people you need Pro, which is $15 a month flat up to 25 people. New companies also get a 14-day Pro trial with no card. After the trial the company falls back to Free if there are 3 people or fewer, unless you choose a paid plan.

No. LeaveCalc is month to month with no contract, no setup fee and no minimum number of seats. Paid plans have a 30-day money-back guarantee. Paying yearly is optional and costs ten months for twelve, and Business and Enterprise can pay a year by invoice. Vacation Tracker also lets you cancel at any time without fees, according to its own FAQ.
