Buying LeaveCalc for an organisation

Start with the trial

Every new company gets a 14-day trial with no card. Start the trial, add one department and see whether it fits before you pay anything.

Plans are priced by team size: see the plans. Above 100 people: Enterprise, $149 a month with no seat limit, available from the Billing page in the app.

Paying by card

For most teams this is the quickest path: choose a plan on the Billing page in the app and pay monthly by card through Stripe. The same works for a company card held by your finance team.

Prices are set in US dollars. Stripe checkout can show and charge them in your local currency at its exchange rate, and Stripe adds any taxes at checkout. Card details are entered on Stripe's own pages; LeaveCalc sees only the email, plan, amount, country, card brand and last four digits.

Paying by invoice or purchase order

If your organisation pays through accounts payable or needs a purchase order, an owner on the Business or Enterprise plan can ask for an invoice in the app: Settings > Billing > Pay by invoice (yearly). The form takes the organisation’s legal name, the billing address and the accounts payable email, and optionally your purchase order number and tax id.

We then make one Stripe invoice for a year of Business or Enterprise, due 30 days after the invoice date, and email the link to your accounts payable address. A person makes each invoice by hand, and the plan starts when the invoice is paid. An invoice covers one year, and the same place in the app has a button to ask for the next one. There is no monthly invoice: if you want to pay month by month, use a card.

You can also write to contact@leavecalc.com with your PO number and the details above, and we make the invoice the same way.

Billing and cancelling

• A card subscription renews each month until it is cancelled.
• Cancel any time in the Stripe billing portal or by email.
• Access continues to the end of the paid period, then the account moves to the Free plan. Nothing is deleted.
• Paid plans have a 30-day money-back guarantee. See the refund policy and the Terms.

Tax forms

LeaveCalc is a sole proprietorship in Manitoba, Canada, so it is a Canadian vendor. A US buyer gets IRS form W-8BEN on request, not a W-9. Ask at contact@leavecalc.com.

Security questionnaires

We answer security questionnaires by email, with what is true today. Most answers are already in the security overview and the Data Processing Addendum.

Where the honest answer is no, we say no. LeaveCalc has no SOC 2 report and no ISO 27001 certification today, and the security overview lists the other things it does not have yet. It also describes how doctor's notes and other documents are stored, who can open them and how long they are kept (Documents and medical notes). People can sign in or sign up with Google or Microsoft, and an owner can require it, and the Business and Enterprise plans add SAML 2.0 single sign-on with the company's own identity provider (see the SAML setup guide), but there is no SCIM. The Microsoft app has no verified publisher yet, so some organisations' IT administrators have to approve it first. There is a Slack app, which an owner adds from the app (it is not in the Slack Marketplace), but no Microsoft Teams app.

Vendor registration and insurance

For the forms, LeaveCalc is a sole proprietorship in Manitoba, Canada, run by one person. It has no cyber insurance today.

Accessibility documents

The accessibility statement gives our WCAG 2.1 AA target and the current state. A VPAT (Accessibility Conformance Report) draft is available on request.

Data export at the end

If you stop using LeaveCalc, take your data with you. Reports > Exports > Download backup gives a JSON file of the whole account, and the payroll export produces a CSV. On request from the account owner, the account is deleted within 30 days and the deletion is confirmed in writing.
